			<content:encoded><![CDATA[<p><P>One of the biggest problems we encounter in our consulting with businesses, and our students is time management and organizational techniques. This article will concentrate on some good organizational strategies. Two of the best organizational techniques I have found over the years are the Tickler File and the Chron File.  This article will concentrate on how to use them everyday in your business.</P><br />
<P>A Tickler file is used extensively in the legal arena. A Tickler file is a file in  which you put items that you need to take care of by a certain date. For example, an accordion file is used in the legal office, the accordion file has dates from 1-31 with monthly folders (January-December). If a court case is to go to trial on June 13th with depositions to take place through May, the case would be put in the accordion file in April, so that letters could be sent out in April to those who need to be deposed in May. The letter for a particular individual would be placed in the appropriate day for May that the person was to come in, or even the day before with a note to call and remind this individual they have an appointment. Anyway you get the idea. The tickler file allows  you to put  notes, files or letters in them as a reminder (tickle your memory) for you to do something. The tickler file is also a great way to get all the papers off your desk. When I am done at the end of the day, I place my to do list (with the items to be done), in my tickler file. My tickler file is a legal size accordion file, which is numbered 1-31. I have made up my own monthly files. Yes,  you can purchase manila files with the months already on them, however, they are expensive, an expense I don&#8217;t think is necessary.  My tickler file is in the drawer of my desk. When I am finished at the end of the day, all of the items I am still working on are placed in my tickler file for the next day. So the tickler file can serve a two-fold purpose, clearing off your desk at the end of the day, along with acting as reminder and keeping track of what need to be done in the upcoming days and months for you. </P><br />
<P>For those of you running your own Lease Purchasing business it also allows you to tickle a reminder to yourself to run your ads on a consistent basis, utilize your marketing strategies, Real Estate meetings, speeches, and articles to write, along with the other items you need to do. </P><br />
<P>I know many of you use computer programs that act as tickler files do. This is fine, as long as you use them. I know you can set up a system like this one in Outlook and many of the Personal Management Programs. That&#8217;s fine. However, I find that most people don&#8217;t follow through with the computer programs, and have found when consulting with businesses that the old fashioned way makes them more comfortable, since they are handling paper and files and don&#8217;t have to bring up a specific program to look for something.  However, if you are more comfortable with a computer program, please feel free to employ one.  Just remember, to be organized, you do have to use it. </P><br />
<P>Another issue that comes up quite often is finding a particular letter or memo in a file. One of the best ways to keep track of correspondence is by using a Chron File. A chron file is a chronological file of all the correspondence you send out on a monthly basis.  You would have chron files for all twelve months with the letters sent out that month in date order. If you use client files, you can still use the chron file, just make a second copy of the letter for your chron file. It might seem extra work for you, however, I have found over time, not everyone can remember a particular clients&#8217; name, and it is much easier to remember they did a letter in a particular month, and find it that way. Chron files are very handy for those businesses that don&#8217;t send out a lot of correspondence and don&#8217;t want to have to make a file for one piece of correspondence. Your correspondence is organized by month and year and much easier to retrieve if you need to. I keep the current monthly chron file and the past two months in my desk drawer before my tickler file.</P><br />
<P>For those running a lease purchase business, your chron file is perfect for those follow-up letters from telephone calls to sellers, marketing letters to mortgage brokers, real estate agents, etc. You don&#8217;t need to make a separate file for those type of letters, just place them in your chron file.</P><br />

<p>It&#8217;s the rare executive who actually enjoys speaking before groups of people, even under the best of circumstances. Public speaking routinely ranks highest<br />
on people&#8217;s list of fears. Add the pressure of having to deliver bad news to good people,<br />
and even the most confident executive can stumble.</p>
<p>Every employee has a horror story about a manager&#8217;s inability to relate bad news. One new manager tried to quell questions from anxious employees about their jobs by denying the obvious: he&#8217;d been hired to make changes. When that statement was met with skepticism, he explained, &#8220;What I meant was that I&#8217;m not going to make any changes that you don&#8217;t already know have to be made.&#8221; Not surprisingly, his words did little to stem fear, help employee morale, or change the speed with which resumes were readied, even among those spared the ax.</p>
<p>Another executive withheld information about necessary layoffs right up to and including the time those layoffs were being put into effect. As employees were summoned one by one into the executive&#8217;s office, word began to spread through the employee grapevine like wildfire. Rumors flew out of control. One fired employee began calling workers who were not present, with erroneous news they too were about to be fired. So badly had the executive handled the situation, security guards had to be called in to handle growing employee anger and frustration, right in the presence of visiting clients.</p>
<p>To be sure, these are extreme, real-life examples of bad news communicated badly. However, even the announcement of difficult changes can be handled well by executives, if those announcements are handled honestly, appropriately, and with open and clear communication.</p>
<p>It makes no sense for executives whose workplaces are filled with rumor to stay silent. Yet many executives do just that, fearing that anything they say will only add to the anxiety. The first rule of communicating about change in the workplace is the same rule used in crisis communications: tell what you know when you know it.</p>
<p>Even if what you do know, or are allowed to say is limited, you will do yourself and your employees a great deal of good by setting the stage for open communication early. This gives executives an opportunity to learn of employee concerns and to squelch unfounded rumors at the outset. Even more importantly, it allows executives to communicate an understanding of those concerns to employees.</p>
<p>That will go a long way in giving both employees who are impacted, and those who are not, more confidence that their interests are being taken into account.</p>
<p>Executives should also use care and attention with the words and tone they use, along with how those words are likely to be perceived. Executives uncomfortable with the emotions involved in delivering unpleasant news often choose to present a simple  recitation of the facts, in a neutral tone. While it&#8217;s important to let employees know what is happening, and why, its equally important executives acknowledge the real pain those changes are causing. Don&#8217;t assume workers know how you feel. Workers need to hear executives empathize about the impact of difficult decisions, and acknowledge their worth and contributions.</p>
<p>Executives need to find as many ways as possible to help ease the blow of bad news for all employees, those who might be downsized or reassigned, as well as those left behind. Communicating about any and all options available for employees helps ease the feelings of helplessness and frustration, among those most impacted by change. The ball gets passed off to the wrong person, dropped, or even lost. In addition, most document collaboration happens electronically. We are always told to save and resave these electronic documents, but it gets to the point that we can&#8217;t even keep track of which draft we&#8217;re on. Not to mention our hard drive gets overloaded with so many similar document names that it blows the whistle on us until there are no longer &#8220;too many men on the field.&#8221; Huddle up! Let&#8217;s talk about 3 keys to making sure that every document we collaborate on is sure to score with our bosses, our clients, and each other.<H3><P>Create Compatibility</H3><P>Collaboration requires compatibility. In order to create compatibility, we need technology on our side. If you have ever tried to open a document from a member of your team that was in a format that was not compatible with the applications on your computer, you are not alone.<P>Whether you are making a presentation, a budget, a report, a notice, a memo, or anything else that will be written in collaboration with another person or other people, all involved need to be able to read documents written in various applications. You will send it to a team member or a boss or a client via email, and you will want them to be able to open it, add their changes in collaboration, and send it back without any problems.<P>Too often in trying to collaborate, we have to keep emailing other members of our team, asking them to switch the document from one format to another, prolonging the can&#8217;t-be-prolonged projects. This way of working does not fit into a fast-paced business culture.<H3><P>Leave No Player Behind</H3><P>All too often, drafts come back without you knowing it, and inevitably, some changes are not includedyou left a player behind. Applications that send notifications about changes save time and increase collaboration effectiveness.<P>Think about the people to whom you send collaborative documents. Usually that group of people includes someone from your upline and probably even a client. Those are key players whose changes and suggestions must never be lost in the collaboration process. The side effects may be severe.<P>The most important thing is that nobody knows everything, but everybody knows something. And, when making collaborative changes in a document nobody will catch every mistake or add a helpful insight, but everybody will catch some mistake or add a helpful insight. If players get left out, that important document, whatever purpose it may serve, glides further away from perfection. Just imagine the CFO of a company being left out of an important financial presentation or document. What if one number is off?<H3><P>Don&#8217;t Drop the Ball</H3><P>The last point is that organization is key to collaboration, and that despite our best efforts there are times when we forget something; we drop the ball. In document collaboration, you&#8217;ve got to hold on to the ball, because it may roll out of sight if you drop it. That means that you might have to start from scratch, lose vital information, get in trouble with the boss, and get in trouble with the client.<P>Automatic notification, which tracks any work or changes on a MS document, acts a sticky note that will post itself immediately when a new draft of a document arrives in the MS email or other applications. Now-a-days, you can even receive notification immediately upon arrival of the document.<P>The trick is to avoid any guess work, to maintain detailed records, and to keep everyone in the loop. Collaboration will take place on every level business and most often cross managerial and company borders. Clients will be involved. Bosses will be involved.<P>Remember these three keys of collaboration. Document collaboration in your company needs to be compatible with your software, it needs to keep everyone informed, and it needs to help keep the business organized.</p>
